Cisco Webex Log Bot

Track, log, categorize, and respond to what you need, when you need it.

Do you have items to track that might need responses or answers? This bot can help. To get started, simply add the bot to any Webex messaging space (log@webex.bot). Then @mention the bot as part of a message that needs to be tracked. As conformation for each newly logged item the bot will respond with a link to a web interface for simplified tracking.

Add an Entry: 

@mention the bot [@Log] in a group space followed by a message you want to be tracked.

Bot Response:

Once you have posted the the message the Log bot will respond in two ways.

1. By starting a thread under the message and provide confirmation, the entry ID number, a link to the web interface, and example responses.

2. By sending a direct 1:1 message with the message you sent, the entry ID number, and the space name you posted the message to.

Reply to an Entry: 

There are two ways to reply to an entry so that it's tracked by the bot. When a reply is posted, the Log bot will respond with a 👍 to confirm the reply has been added.  



1. The easiest method is to @mention the bot [@Log] in a reply to the thread that was created from the original post. 



2. You can also respond outside of the thread by @mention the bot [@Log] followed by /r {entry ID} and your response.

Answering an Entry: 

There are two ways to answer an entry so that it's tracked by the bot.



1. The easiest method is to @mention the bot [@Log] followed by the slash command /a then your answer within the thread that was created from the original post.



2. You can also answer outside of the thread by @mention the bot [@Log] followed by /a {entry ID} and your answer.

Responce to Answer: 

When an answer has been posted the Log bot will respond in the group room showing the answer was recorded, and the entry can be marked as closed.


The Log bot will also send a 1:1 direct message to the user who posted the entry with the original question and the answer that was posted in the group space.

Closing an Entry: 

Once an entry has been answered it can be marked as closed by one of two methods. 

1. The easiest method is to @mention the bot [@Log] followed by the slash command /close 

2. You can also answer outside of the thread by @mention the bot [@Log] followed by /close {entry ID}

Note: you can also answer and close the entry in the same post by @mention the bot [@Log] followed by the slash command /a, your answer add the slash command /close at the end of your answer.

Accessing the web Interface:

In the confirmation of each entry posted the Log bot includes a link to the web interface "Click here for details"

After logging in with your Webex credentials (information on permissions required below) you will see a listing of all entries for the space you have accessed. 

Use the search box at the top of the page to search or filter the list of entries.

You can also export the list of entries using any of the buttons in the top left corner of the list.

Interacting with an Entry: 

From the web interface you can interact with an entry, view replies, and view answers that were posted by clicking on the three dots to the right of the entry in the table list. 

From here you can export the communication around this specific entry as well as add a reply, answer or even mark the entry as closed.

Extra Features

In addition to the standard features a few extras have been added to help track things

Mark as Defect:

While an entry is in the open state if you need to link the entry to an external system such as a ticketing system this can be done via the defect command.


Within the thread for the entry @mention me [@Log] followed by /defect then the internal ticket number or ID you want to use.



Doing this will change the status on the web interface from Open to Defect showing the defect ID you have used.

Assign an Owner: 

There are times when someone specific needs to follow up on an entry. To keep track of this you can assign an owner using the /owner command.


Within the thread for the entry @mention me [@Log] followed by /owner then the persons name who will be the owner.



Doing this will add the owners name to the Owner column on the web interface which can be used for reference on the exported file.

Advanced Features

Advanced Settings: 

The Log bot has the ability to set different settings per space. These settings can be accessed via the Settings button on the space page.

Advanced Feedback Settings: 

Within the settings there are two sections: View and Advanced Feedback. 

View Settings modifies how the entry items are displayed on the web interface. You can select to hide any entries that are marked as closed as well as limit the number of entries that are loaded to the last 100. 

Enabling Advanced Feedback will modify the columns that are displayed on the web interface and change the confirmation response that is sent by the bot to confirm a new entry. 

Advanced Feedback adds the ability to define tags to further categorize an entry as well as add votes to entries to understand how important it is.

View Settings: 

With the "Hide Closed" and "Show Last 100" view settings enabled you will see this noted under the search box while looking at the overall list of entries for the space.

Advanced Feedback - Voting: 

Using the web interface members of the space can add a vote to an entry. This can be used to track the importance of entries and set priority. An individual user can only vote for an entry once. Once a vote has been cast the voting button will be removed from that entry.

Advanced Feedback - Tags: 

When tags are configured the Log bot will respond 1:1 with an active card as confirmation of an entry post. The active card will request that the user add tags to the entry.

These tags can then be used to sort and categorize entries on the web interface. If at any time the tags need to be modified this can be done via the web interface.

Integration Permissions Required

When accessing the web interface for the first time you will be prompted to accept the following permissions. 

  • people_read - Once logged into the web interface, this permission is used to get your display name and display it in the navigation menu.
  • rooms_read - No Webex Teams space names are stored by the bot. So, this permission allows the web interface to display the name of the Webex Teams space while looking at the recorded log entries.
  • messages_read - No message text is saved. We only use MessageIDs which allows the web interface to retrieve the message text using your authentication token.
  • messages_write - While looking at a log entry via the web interface, you can post a reply from there. This permission allows your reply to be posted back to the Webex Teams space.
